  • Customer Care Specialist

    The Goulet Pen Company is hiring a Customer Care Specialist! As an extremely customer-focused online fountain pen business, we’re looking to grow our extraordinary customer service team. We’re looking for a special person who can create a personal experience with our customers by acting as a product ambassador, recommending products, and troubleshooting product issues in a variety of channels. The goal of this position is to provide the same level of service as if our customers were interacting with us face-to-face. You'll become a wealth of knowledge to empower both new and well-educated customers with information about our products, and provide friendly and helpful advice.

    What you’ll do:

    Customer Service
    --- Respond enthusiastically to customer questions about our products. This might be over email, phone, or LiveChat on our website.
    --- Write in a conversational and professional style and produce error-free correspondence.
    --- Develop a robust knowledge of our fountain pen product offerings.
    --- Help to develop and maintain customer service standards, policies and procedures.
    --- Use judgment to make decisions regarding product returns or troubleshooting, upholding our company policies and values while maintaining empathy for our customers.
    Order Processing
    --- Help customers place orders over the phone.
    --- Write a personal, handwritten note on all outgoing customer invoices.

    What type of person are we looking for?

    --- People lover. You need to love people, especially communicating one-on-one and building relationships. You're going to be on the front lines, answering the phone and responding to emails, so we're looking for someone who exudes positivity, empathy, and patience.
    --- Excellent writing skills. Typos and improper grammar can completely undermine our credibility, so quality writing is important.
    --- Totally team-oriented. We expect everyone to rotate roles and work as a team to be as efficient as possible, which requires excellent interpersonal communication. Empathy for your team members is critical for the success of the whole company.
    --- Incredibly flexible. Things change on a daily basis around here. We may be slammed with emails one day, and slower on the next. You'll be responsible for prioritizing your own time and making sure our customers' expectations are met.
    --- Fountain pen knowledge. You must be willing to learn all about fountain pens (don't worry, we'll teach you!). It's almost preferred if you don't know much, because you'll get to go through the learning process just like our customers do.

    This is a full-time position, 40 hours/week, Monday through Friday, 8am to 5pm. Pay will start at $15/hour, with full benefits including paid vacation and holidays, health/dental insurance, long-term disability and life insurance, 401(k) plan with a company match, and tons of other fun perks!

    Our office is located in Ashland, Virginia. We are right off of Lakeridge Pkwy, which is very close to I-95 at exit 86B. We're a mile or two north of Virginia Center Commons, and less than a mile south of the Bass Pro Shop, so there are lots of great food options nearby (and a whole new outlet mall being built up the road too!). You must be local, or willing to relocate at your own expense within the very near future, as we need someone available to start as soon as possible.

  • Inventory Control Analyst

    Do you believe that if it’s worth doing, it’s worth doing correctly the first time?
    Do you set high standards of accuracy for yourself and enjoy solving problems?
    Do you love manipulating data in Excel?

    If so, you may be exactly who we’re looking for. The Goulet Pen Company is hiring an Inventory Control Analyst. We’re an online retailer, and your purpose will be to ensure we have appropriate quantities of products in stock to sell to our customers. You’ll be using reports to independently determine what purchase orders need to be placed, and coordinate these orders with our vendors.

    You’ll also be working on a team as a crucial bookkeeper, keeping accurate track of accounts payable and other data entry and reconciliation. You’ll touch all financial aspects of business operations, including accounts payable to vendors, customer deposit reconciliation, credit card expense reconciliation, and bank account management. We’ll be putting a great degree of trust in you to ensure all bills are paid on time.

    This position requires strong math and interpersonal skills, a high degree of accuracy and quality of work, strong attention to detail, a love of Microsoft Excel, and a working knowledge of financial and standard accounting principles. Familiarity with Quickbooks is a huge plus!

    WHAT YOU'LL DO:

    Purchase Orders & Inventory Control
    --- Leverage reports of existing stock-on-hand, desired reorder quantities, and existing purchase orders to independently determine if a new order is to be made.
    --- Record purchase orders and received bills into Quickbooks accounting software and website, reconciling any discrepancies.
    --- Keep track of what items are backordered and maintain communication with our customer care team.
    --- Locate, analyze, and reconcile any inventory discrepancies. Navigate the inventory software to deduce where the issue occurred.
    --- Run quarterly and ad-hoc physical inventory checks.

    Vendor Relationships
    --- Maintain positive friendly relationships with our vendors, including manufacturers and distributors of the brands we carry.
    --- Follow up on open orders, issues with merchandise quality, returns and credits due, etc.

    Reporting & Statistical Analysis
    --- Set reorder points and project out sales for every product, at least quarterly, using historical sales data and vendor lead times.
    --- Proactively pull regular and ad hoc reports to help assess specific product sales trends and provide recommendations for action steps.
    --- Write, run, and upkeep basic code in VBA for Excel to automate certain tasks.

    Bookkeeping/Data Reconciliation
    --- Prepare payments to vendors for purchase orders received.
    --- Reconcile credit card and bank statements in Quickbooks.
    --- Maintain meticulous records of all inventory adjustments.

    WHAT TOOLS YOU SHOULD KNOW:

    --- Microsoft Excel
    --- VBA for Excel
    --- Quickbooks Professional or Enterprise (desired)

    WHAT EXPERIENCE/EDUCATION YOU SHOULD HAVE BEFORE APPLYING:

    --- Bachelor’s degree or equivalent work experience in statistics, economics, math, finance, accounting, business management, or similar discipline.
    --- At least one year of experience managing warehouse or retail store inventory.
    --- Experience manipulating large amounts of data in Excel.
    --- Experience writing and maintaining basic code in VBA for Excel to automate certain tasks.

  • Order Processing Specialist

We’re seeking an accountable, poised, and organized individual to process orders for our passionate customers, promptly and accurately answer their questions, and ensure that all our behind-the-scenes processes are up and running smoothly.

    What you’ll do:

    Order Processing
    --- Receive, process, and verify the accuracy of orders, both online and over the phone, using our internal web-based system.
    --- Write a personal, handwritten note on all outgoing customer invoices.
    --- Learn and master the ins and outs of our order management system.
    --- Process customer product returns, following up with customers and coordinating with other departments within the company.
    --- Maintain accurate and organized records pertaining to returns and customer account management.
    Customer Service
    --- Write in a conversational and professional style while producing error-free correspondence.
    --- Help to develop and maintain customer service standards, policies and procedures.
    --- Use judgment to make decisions regarding product returns or shipping issues, upholding our company policies and values while maintaining empathy for our customers.

    --- Highly organized! You’re not fazed when taking in lots of information from many different places. You are able to create structure and systems to manage emails, account details, subscriptions, and other various processes.
    --- Attention to detail. You'll be responsible tracking incoming orders to be processed, making sure the payment and address info is complete, identifying all customer special requests, etc. We'll look to you to make sure nothing falls between the cracks, and stay focused in a busy work environment.
    --- Excellent writing skills. Typos and improper grammar can completely undermine our credibility, which makes quality writing important.
    --- Empathetic. Ability to treat customers’ problems as if they are your own. You will need to be able to resolve issues in a professional, personal, and caring manner.
